Our COVID-19 events policy

BEFORE THE EVENT

Our events have strict maximum numbers of participants established in line with government guidance. 

To help ensure our members and staff’s safety, while making sure all the members who would like to enjoy our events can join, we kindly ask that:

  • You do not register for an event if:
    • You are considered at moderate or high risk of COVID-19 by the NHS. We are sorry that we cannot see you in person during this time, but hope you will join one of our many digital events.
    • You are currently feeling unwell and the event is less than or 14 days away.
    • The UK government requires you to self-isolate and the event falls during your 14-day quarantine (please note that the UK Government currently requires anyone coming back from France to self-isolate for 14 days)
  • You cancel your participation if you are feeling unwell or do not feel comfortable attending the event. If you do need to cancel, please notify us as early as possible so that your place may be allocated to another participant.
  • As part of Contact Tracing, you will be asked to provide a mobile phone number when registering, so we can easily get in touch if needed.

 

DURING THE EVENT

The French Chamber works with trusted partners who put the utmost care in ensuring your safety. Before any event, the French Chamber staff will visit the venue to make sure any area of potential concern is identified and efficiently managed.

In addition, we are taking a number of measures to help us respect social distancing, including:

  • Arrival/registration desk:
    • Reusable badge holders have been replaced by disposal name-badge stickers.
    • Printed List of Participants or Calendars of Events will no longer be handed out. You will be able to access those digitally through a QR code which will be displayed at multiple points in the venue.
    • When at the registration desk, we kindly ask that you do not touch anything, and ask a member of staff if you require any help.
    • For larger events, staggered arrival times may be used to help us manage the number of participants in the entrance/registration desk area.
  • Inside the venue:
    • Where necessary, we will institute floor-planning measures, such as one-way systems, separate entry and exit points, outdoor queueing, etc. to manage pinch points. These will be clearly indicated by signage and French Chamber staff.
    • During events where participants are required to sit down (theatre-style or banquet setups), the chairs will be set at an appropriate distance to ensure social distancing. Please do not move them. 
  • Food and beverages:
    • We will continue serving food and drinks at our events.
    • Based on the setup of the event, we will consider options such as individualised and pre-packaged portions, staggered service times, larger buffet spaces, etc. to ensure safety and manage participants flow.
    • All waiting staff will wear the relevant personal protection equipment and take all other relevant safety measures

To help us keep everyone safe during our events, we kindly ask that you:

  • Keep a minimum distance of 1m when interacting with other participants and staff
  • Wear a face covering while interacting with others, except when you are eating or drinking.
  • Do not shake hands.
  • Do not exchange business cards. To help you stay in touch, after each event, you will receive the list of event attendees with their email addresses. We kindly ask that you keep this information to yourself and use it respectfully.
  • Make good use of the hand sanitiser at your disposal, especially upon arrival, before eating, or after coughing/blowing your nose.
  • Do not change any of the room setup, which has been carefully designed to ensure your safety (moving chairs or tables, etc.).
  • Immediately speak with the French Chamber event team (Leila Hafez or Lauriane Véron) if you have any concern about your safety during the event.

 

AFTER THE EVENT

  • As part of Contact Tracing, we kindly ask that you inform us if you are diagnosed with COVID-19 within 14 days of our events.
  • If we are informed of anyone having attended the event being sick with COVID-19, we will inform all the participants as soon as possible, and make the necessary arrangements in our calendar to cancel potential forthcoming events.
