The French Chamber is looking for an intern – Events Assistant for its Events Department to start from the 6th of January 2020.

The Events Department delivers a busy calendar of 40+ events per year for the French Chamber’s 550 member companies. Our calendar of events covers a wide range of events topics and formats (cocktails, breakfasts, seminars, dinners, conferences, etc.), pertaining to the interests of the Franco-British business community in the UK. The Events Department has three permanent staff and one intern.

The Events Assistant reports to the Events Manager, with tasks overseen by the Events Marketing Executive and Events Coordinator.

Key Responsibilities

Before an event:

  • Respond to incoming queries
  • Manage participants’ registrations and invoicing
  • Send personalised email campaigns and phone prospective participants to push event attendance
  • Prepare the ‘reminder’ email sent to all participants
  • Prepare all event materials: list of participants, badges, place cards, table plans, PPT presentations, menus, etc
  • Book relevant suppliers as needed (food & drinks, décor, flowers, entertainment, etc.) and assist with logistical needs

During an event:

  • Set-up the room and the registration desk
  • Produce a list of attendees, no-shows and replacements
  • Welcome guests, answer questions and offer assisted networking
  • Conclude events: close registration desk, collect badges, help put materials away

After an event:

  • Produce the post-event attendance report
  • Update the pictures to the website
  • Prepare the ‘thank you for coming’ email sent to all participants
  • Put all the materials away, keep an inventory of the drinks, etc

Marketing and communications:

  • Update the French Chamber website, dedicated websites and apps
  • Handle the social media for the department:
    • Prepare relevant social media posts, according to calendar of events
    • Live posting during events (Twitter, Instagram stories)
  • Update and send regular Calendars of Events


  • Prepare press reviews with in-depth research on topics and possible speakers
  • Research suppliers and venues
  • Prepare meeting briefs as required
  • Update the CRM and tracking documents

Office hours are 09:00-17:00 Monday to Friday. Most events take place out of office hours (during the week only) and the Events Assistant will be expected to attend most of them (1 to 2 per week).


Undergraduate or graduate student studying business, hospitality, communication etc., with an interest and desire to work in the Events sector.

  • Great organisation skills, ability to multitask and work on different deadlines at the same time
  • Ability to understand deadlines and prioritise one’s work
  • Good communication skills, comfortable interacting with others both face-to-face and on the phone
  • Team player
  • Creative, flexible and reliable
  • Native English speaker with good writing skills
  • Fluent French is a strong plus
  • Proficiency in Design and/or video montage software is a plus

Salary: £500 a month
